A business knows as much about the contents of its own product as its suppliers provide. Therefore, the most challenging part of compliance management is collecting data from the supply chain .

Depth of statement levels

Scope

Supplier demand management: Planning and tracking which supplier requires declaration for which part and at what level.
Automatic reminders and upgrades: Systematic reminders for unresponsive suppliers; measurement of response rate.
Multi-format acceptance: Declarations can be submitted in standard data formats, spreadsheets, or documents, and all can be converted to the same structure.
Verification: Checking the internal consistency of the submitted declaration — weightings, substance number validity, concentration ranges, contradictory statements.
Aggregation of the product tree: Upgrading component declarations to the higher product level and calculating total concentrations.
Declaration validity: The declaration must be updated when the supplier changes the product; the age of the declaration must be monitored.
Supplier risk scoring: Prioritizing suppliers based on response speed, quality of declarations, and history of nonconformities.
Contractual basis: The obligation to declare is linked to the purchase agreement and the supplier approval process.

Strategic choice: In the long run, the most efficient approach is to collect full material declarations wherever possible. Collection costs are paid once; in return, the need to re-enter the supply chain with each new restriction is eliminated. If declarations are only collected at the compliance response level, each regulatory change means a new supplier campaign.
