Digital Platform Customers

Manage the application, evaluation, activation, and usage processes of the digital platform in a controlled manner for corporate clients.

A company registering on a B2B platform differs from the individual membership process in consumer e-commerce. It must be determined whether the applicant organization is a legitimate commercial business, its relationship with existing customer records, which products and regions it can access, which pricing and payment terms apply, and who can conduct transactions on behalf of the company.

Digital platform customer management encompasses the entire customer lifecycle, from potential customer applications and existing customer logins to user administrator assignments and account suspension.

Customer application process

  1. Obtaining company name, tax information, country, address, and contact information.
  2. Determining the field of activity, customer type, expected transaction volume, and relevant product groups.
  3. Verification of the applicant's relationship with the company and their contact information.
  4. Matching with existing ERP customer records and checking for duplicate records.
  5. Assessment by sales, finance, credit, or compliance teams.
  6. Assigning customer hierarchy, catalog, pricing and trade terms.
  7. Creating the initial customer administrator and sending a secure invitation.
  8. Account activation and usage

Bringing existing customers to the platform

Customers registered in the ERP system must be made available on the digital platform without creating a new customer. The customer's existing prices, payment terms, credit status, sales organization, addresses, and contracts must be associated with their portal account.

Customer organization and multiple locations

A single main customer account can encompass different companies, branches, or points of sale. A user can only place orders on behalf of their own branch or on behalf of multiple locations for which they are authorized. During account selection, the catalog, pricing, delivery address, budget, and order history should vary depending on the organization.

Digital customer statuses

  • Application received.
  • Awaiting evaluation
  • Further information is awaited.
  • Confirmed
  • Active
  • It has been temporarily suspended.
  • Trade blockade
  • Rejected
  • Closed or archived.

Account activation and first use

Simply sending a password creation link to the user during activation is insufficient. The platform's terms of use, communication channels, ordering process, approval requirements, delivery methods, and support options must be clearly presented.

Account health and usage monitoring

  • Active and passive users
  • Last login and transaction dates
  • Failed authentication events
  • User and role changes
  • Catalog and price access problems
  • Offer and order utilization rate
  • Processes awaiting approval
  • Support requests and resolution times.

Suspension and reactivation

Customer accounts should be able to be suspended in a controlled manner in the event of credit risk, contract termination, security incident, or temporary interruption of the business relationship. The suspension process should have clear rules regarding how existing orders and past documents are viewed.

Create your digital customer record not as a simple membership, but as a secure and manageable digital extension of your corporate business relationship.
