The staffing plans that have been prepared must go through an approval process.
As the first step in the approval process, a "Civil Servant Position Request Document" must be created.
Viewing the Automatically Generated Staffing Request Document
"Civil Servant Staffing Request Documents," which are automatically generated for planning purposes, will also be listed under this menu item. After clicking on these documents, you can make changes to the records under the document tabs.
For more information about the records located under the tabs listed below in the automatically generated request documents, please click on the transaction (tab) name in the list.
Creating a Staffing Request Document and Listing the Request Topics
Under the "Civil Servant Position Request Documents" menu item, after clicking the "New" button, you must fill in the "Name" and "Request Date" fields for the document.
You can then manually complete the application process for the positions listed below.
Note: If you wish to edit and/or add to an automatically generated request document, you can do so manually as described in the paragraphs below.
Full Squad Change
The positions released for institutions are divided into two categories based on their utilization status: filled and vacant.
Depending on the institutional service needs, proposals for title and grade changes can be made for vacant positions, while for filled positions, only a grade change proposal can be made based on the qualifications of the employee working in that position.
So, if you want to make a change in one of the "Rank", "Quota", or "Available Position" fields of a position, you can do so under the "Filled Position Change" tab.
To make changes to the "Original Staff" section, you must select the desired staff position from the Civil Servant Staffing List .
In the "Changes" section, you can modify the "Rank", "Quota", and "Open Position" fields for the same position.
Full Staffing Change
Under the "Filled Position Personnel Change" tab, you can request to add personnel to a filled position.
After saving the screen, you can save the relevant personnel under the "Related Personnel" tab.
Vacant Position Change
The positions released for institutions are divided into two categories based on their utilization status: filled and vacant.
Depending on the institutional service needs, proposals for title and grade changes can be made for vacant positions, while for filled positions, only a grade change proposal can be made based on the qualifications of the employee working in that position.
In other words, if you want to change the "Job Title" of a vacant position and accordingly redefine the "Organizational Unit", "Workplace", "Grade", "Quota", and "Vacant Position" fields, you can do so under the "Vacant Position Change" tab.
To make changes to the "Original Staff" section, you must select the desired staff position from the Civil Servant Staffing List .
In the "Changes" section, you can modify all of the following fields: "Job Title", "Organizational Unit", "Workplace", "Grade", "Quota", and "Vacant Position".
New Staffing Creation
The creation of new positions is the process of establishing new positions when it is not possible to fulfill the institution's services with the existing staff.
You can define the staff you wish to add under the "Create New Staff" tab.
Note: You cannot cancel a position that is already marked " Full, " meaning it contains personnel whose employment or status change documents have been approved. However, you can cancel a position that is completely vacant or that contains personnel whose employment or status change documents have been created but not yet approved.
Staffing Request Document Status
The status of the staffing request document can be one of the following.
Request Made: This is the default status assigned by the system when the document is created.
Rejected: To completely reject the planning, you can manually select this status. In this case, this rejected planning document will not be displayed in the "Reference Staff Request" dropdown box when generating the Civil Servant Staff Approval Document .
